Getting Started with Kaibab Behavioral Services

Starting in-home ABA therapy involves several required steps, including insurance approval, clinical assessment, and scheduling. We work hard to move families through the process as quickly as possible, but ABA services cannot begin until all required steps are completed.

Most intakes take a minimum of 30 days from start to finish, although timelines may vary depending on insurance, staff availability, and how quickly paperwork is completed.

Our Onboarding Timeline

 Our team is here to make ABA services as accessible as possible.  We understand that finding ABA services in Flagstaff while navigating insurance policies and avoiding waitlists may sound like a job in itself.  Our team at Kaibab Behavioral Services is proud to be the premier ABA provider in Flagstaff and surrounding areas in Northern Arizona.   

Why the Process Takes Time

ABA therapy requires insurance authorization, clinical review, and treatment planning before services can begin. These steps are required to make sure therapy is appropriate, safe, and covered by insurance.


The most common reasons intake takes longer include:

  • Missing paperwork or signatures
  • Delays from insurance companies
  • Limited availability for scheduling assessments
  • Difficulty confirming availability for ongoing sessions
  • Behaviors that require additional clinical review
  • Service location restrictions (school, home, distance, etc.)


We will keep families informed throughout the process, but some steps depend on insurance and cannot be rushed.

Parent Responsiveness Is Required to Stay on Track

To complete intake within about 30 days, we ask families to:

  • Return calls and emails promptly
  • Complete intake paperwork as soon as possible
  • Attend scheduled appointments
  • Provide insurance documents when requested
  • Confirm schedule availability honestly
  • Communicate any changes right away


Delays in communication are the most common reason onboarding takes longer.  If we are unable to get needed information, intake may be paused or closed.

Completing Intake Does Not Guarantee Services

Submitting a referral form or completing the intake packet does not automatically mean services will begin.


Each case is reviewed to make sure:

  • We can safely provide services
  • The behaviors are within our scope
  • Insurance authorizes treatment
  • Staff are available in your area
  • The schedule can be maintained
  • The home or school setting allows services


If we determine that we cannot provide appropriate services, we will let families know as soon as possible.  This decision is based on clinical appropriateness, safety, and availability — not on the family personally.

ABA Therapy Requires Consistency

ABA therapy works best when sessions happen regularly.

Families starting services should be prepared for:

  • 10-20 (sometimes up to 40) hours per week of therapy (based on clinical recommendation)
  • A commitment to attend at least 80% of scheduled sessions
  • Providing advance notice for cancellations and only cancelling when truly necessary
  • Participating in caregiver collaboration monthly
  • Maintaining a safe and distraction-free therapy environment


Frequent cancellations, inconsistent schedules, or lack of availability may prevent services from starting or continuing.  We set these expectations early to protect your child’s progress and the stability of staff schedules.

Safety and Scope of Services

We provide outpatient, in-home and community-based ABA therapy. Some situations may require a higher level of care than we can safely provide.


Examples of situations that may require additional review include:

  • Severe physical aggression
  • Behavior requiring physical restraint
  • Unsafe home environments
  • Weapons, drugs, or unsafe conditions present during sessions
  • Service requests outside our service area
  • Diagnoses or goals that are not appropriate for ABA therapy


If services are outside our scope, we may recommend another provider when possible.

Our Goal Is to Start Services Quickly — and Correctly

We understand families are eager to begin therapy, and we work hard to complete intake as quickly as possible.  The fastest intakes happen when:

  • Families respond quickly
  • Paperwork is completed right away
  • Insurance information is accurate
  • Schedules are flexible
  • Appointments are kept
